The Meadow Field ("The Meadow Field", "we", "us", or "our") operates this website and provides online support classes for women navigating pregnancy loss, infant loss and womb healing. In this notice, The Meadow Field is the data controller responsible for your personal data.

2. Confidentiality within the meadow
Every member agrees to a confidentiality consent before joining, so that what is shared within a class stays within that circle. This notice sits alongside that promise and explains how we handle personal information outside of the classes themselves.
3. Categories of personal data we collect
- Account data โ name, email address, password (stored hashed), and any details you provide when signing up.
- Membership data โ the class(es) you join, subscription status, start and end dates.
- Communications โ messages you send us by email or through the site, and any consent choices you make.
- Technical data โ IP address, device and browser information, and basic usage logs used to keep the site secure and working properly.
- Payment-related data โ collected by our payment processor Paddle. We receive limited data such as your subscription status, country and the last four digits of your card; we do not store full card numbers.
4. How we use your data and the legal basis
- To provide the service โ creating your account, giving you access to the classes, managing your membership (contract).
- To take payment โ processing your subscription through Paddle (contract).
- To keep the service secure โ preventing fraud and abuse, keeping the site available (legitimate interests).
- To communicate with you โ responding to your questions, sending service messages about your membership (contract / legitimate interests).
- To meet legal obligations โ accounting, tax and responding to lawful requests (legal obligation).
- Optional updates โ if you opt in, occasional gentle updates about new offerings (consent, which you can withdraw at any time).
5. Who we share your data with
We only share your data with organisations that help us run the meadow:
- Paddle.com Market Ltd โ our Merchant of Record and payment processor. Paddle handles checkout, billing, subscription management, tax and invoicing on our behalf. See Paddle's Privacy Policy.
- Hosting and infrastructure providers โ for site hosting, database and authentication, under confidentiality obligations.
- Email and communication tools โ used to send service messages you'd expect as a member.
- Professional advisers โ legal, accounting and similar advisers, where genuinely needed.
- Authorities โ where we are required to do so by law.
We do not sell your personal data.
6. International transfers
Some of the providers listed above are based outside the UK / EEA. Where personal data is transferred internationally, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an equivalent adequacy decision.
7. How long we keep your data
We keep your data only for as long as we need it to provide the service and to meet our legal obligations. When you close your account, we delete or anonymise your personal data within a reasonable period, unless we are required to keep certain records (for example, for tax or accounting) for longer.
8. Your rights
Under the UK GDPR and EU GDPR you have the right to: access your data; ask us to correct or delete it; ask us to restrict or object to certain processing; ask for your data in a portable format; withdraw consent at any time; and complain to a data protection authority (in Ireland, the Data Protection Commission at dataprotection.ie). 9. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls on our systems, and vetted providers for hosting and payments. No system can be perfectly secure, but we take reasonable care to keep your data safe.
10. Cookies
We use a small number of essential cookies to keep you signed in and to keep the site working. We do not use advertising cookies. You can manage cookies through your browser at any time; blocking essential cookies may stop parts of the site from working.
11. Changes to this notice
If we make material changes, we will update the "last updated" date above and, where appropriate, let members know by email.
